What is the best way to provide discounts for my registrants?

Signup Anytime supports several different ways of enabling discounts for registrations.

Discount Codes. These are the simplest kind of discounts. Simply create a code, set the dollar amount, maximum number of uses, and expiration date. Then, send the code out by e-mail, postcard, etc. When registrants get to the checkout screen, they'll be able to apply the discount code by copying in the code you created. You can reach the discount editor in the Signup Anytime administrator by navigating to My Account -> Discounts.
Multi-registration Discounts. For many youth leagues, families who register more than one child get a discount on the 2nd, 3rd, 4th registrations. In Signup Anytime, these types of discounts are handled by category. So, if you wish to provide a discount for more than one registration in a Fall 2009 category, simply create a new Multi-registration discount. Choose the number of registrations (you'll need to create a multi-registration discount for each multiple - 2, 3, 4, etc.) and amount of the discount. These discounts will be applied automatically as registrations are added to the basket. Note that only ONE multi-registration discount may be applied per cart. You can reach the multi-registration discount editor in the Signup Anytime administrator by navigating to My Account -> Multi-Registration Discounts.
Questions. Sometimes, you may want to offer a conditional discount, and allow registrants to select it as they register. To do this, add a new question to your event (in the event editor) and make it a multiple choice - drop down type. Add the applicable Answers, setting the price to a negative value for the amount of discount.
Date-based discounts. If you want to provide early registrants with an early-bird discount, this can be addressed by adding a new fee. In the event editor, navigate to the Registration Fee tab. Click "Add Fee". Set the effective date to the earliest date/time of registration. Make sure that the "regular" registration fee has an effective date set to the end of the early registration period.

How do I remove an incorrect registration?

Ever have a registration that contains errors, or maybe the payment information was entered incorrectly... or maybe you just need to create a fresh registration with updated pricing or discounts. Here's what you can do:

Find the registration using the search feature on the administrator home page, or the Registration report.
Click the order number (on the far right).
Remove any payments that have been made.
NOTE: You will not be able to remove payments made online with a credit card.
Switch each registration in the order to a status of "Un-registered" and save the order.

That's it. Once you've updated the registration using the steps above, it will no longer show up in the registration reports (unless you search for Un-registered), and will not be included in the financial reports.

Handling a Waitlist

So, you've setup an event with a registration cap, and now you have a waiting list of people that you would like to admit. There are a couple of different ways to handle this, but here is the way we recommend, so that your participants can still make full use of the online registration system (instead of having to arrange a separate method of payment). I'll be using some sample numbers for this post, but this answer can be adapted to any event. Let's say that your event has a limit of 100 people (which you've reached), and you have 30 people on your waitlist. You'd like to extend registration to 20 of those.

Modify your event in two ways.

Expand the number of spaces available to 120.
Add an Event Passcode, so that only the people you e-mail will be able to register.

Then, pull a list of those registrations from the Registration Report. Pick your event, and select the "Wait List" status. Then sort by the Registration date, in ascending order.
Find the e-mail addresses for the top 20 registrants and paste them into a new e-mail. (You can find the e-mail address in the "Full Data Export" or by clicking on the registrant's name).
In your e-mail, provide a link to the event, along with the passcode you created in Step 1.

Make sure to provide the waitlist-ees a limited time frame to complete their registration. This way, if less than 20 people complete their registrations, you'll be able to send another e-mail to the next 10 entries in the waiting list.

Wait Lists

Events that have reached their capacity and are still OPEN will automatically assign any newly completed registrations to a WAIT LIST status.

During each registration step, the system will clearly state that this registration is in a Wait List status

Wait Listed registrations do not require an on-line payment. You can accept payment when you process a wait listed registation to a fully registered status.

Each registration has a timestamp that will allow you to easily determine the order of your Wait List.
