So, you've setup an event with a registration cap, and now you have
a waiting list of people that you would like to admit. There are a
couple of different ways to handle this, but here is the way we
recommend, so that your participants can still make full use of the
online registration system (instead of having to arrange a separate method of payment). I'll be using some sample numbers for this
post, but this answer can be adapted to any event. Let's say that your event has
a limit of 100 people (which you've reached), and you have 30 people on
your waitlist. You'd like to extend registration to 20 of those.
- Modify your event in two ways.
- Expand the number of spaces available to 120.
- Add an Event Passcode, so that only the people you e-mail will be able to register.
- Then, pull a list of those registrations from the Registration
Report. Pick your event, and select the "Wait List" status. Then sort
by the Registration date, in ascending order.
- Find the e-mail addresses for the top 20 registrants and paste
them into a new e-mail. (You can find the e-mail address in the "Full
Data Export" or by clicking on the registrant's name).
- In your e-mail, provide a link to the event, along with the passcode you created in Step 1.
Make sure to provide the waitlist-ees a limited time frame to complete
their registration. This way, if less than 20 people complete their
registrations, you'll be able to send another e-mail to the next 10
entries in the waiting list.
